Privacy Policy

Last updated: 17 May 2026. We collect the minimum data needed to run booking inquiries and keep this site useful. Nothing is sold to third parties.

§1 · WHO WE ARE

The data controller

S.C. ProLight Hunt S.R.L. (trading as Romania Hunting), registered in Oradea, Romania, is the data controller for this site. For privacy-related requests write to office@romania-hunting.com — we reply within five working days.

Company details (registered address, registration number, VAT) are listed on the Imprint page.

§2 · WHAT WE COLLECT

Data we collect, and why

Booking inquiries. When you fill the booking form we collect your name, email address, phone number (if provided), preferred hunt dates, party size, and the free-text message field. The legal basis is contract preparation under Article 6(1)(b) GDPR — we need this data to reply with a quote and reserve the slot.

Server logs. Our hosting provider keeps standard access logs (IP address, request URL, user-agent, timestamp) for thirty days. These are used for security and abuse prevention only. The legal basis is legitimate interest under Article 6(1)(f).

Analytics. We do not use Google Analytics or any other analytics or measurement tool on this site. No analytics cookies are set, no visitor profiles are built, and nothing is shared with advertising networks. If we ever add one, we will update this policy and ask for your consent before it runs.

We do not collect special-category data (health, political views, sexual orientation, biometrics, etc.) and we do not perform automated decision-making.

§3 · HOW LONG WE KEEP IT

Retention

Booking inquiries that don't convert are deleted twelve months after the last contact. Inquiries that became bookings are retained for ten years after the trip — Romanian fiscal law requires this for invoiced sales.

Server logs rotate after thirty days. We hold no analytics data, so there is nothing further to retain.

§4 · IF YOU ASK TO BE NOTIFIED

Hunt-availability notifications

Some hunts are suspended or quota-bound and cannot be booked. Their enquiry form carries a separate, optional tick box — unticked by default — with which you can ask us to email you if a derogation quota later opens for that hunt. Ticking it is not a condition of sending an enquiry, and an enquiry sent without it is handled in exactly the same way.

Purpose. To tell you when the hunt you registered interest in becomes available again.

Legal basis. Your consent under Article 6(1)(a) GDPR, given by ticking that box.

What we store. The fact that consent was given, the exact wording shown to you at the time, the hunt the consent related to, and the date. We keep this record so that the consent can be demonstrated.

Retention. The consent record is kept until consent is withdrawn. This is a deliberate exception to the twelve-month deletion described in §3: while a notification consent is active, the enquiry carrying it is kept so that we can act on it and demonstrate it. Once consent is withdrawn, the notification record is deleted and the enquiry reverts to the retention described in §3.

Withdrawal. You can withdraw consent at any time — through the unsubscribe link in any message sent on this basis, or by writing to office@romania-hunting.com. Withdrawal does not affect the lawfulness of processing carried out before it.

These messages concern only the hunt you registered for. The address is not added to a general mailing list, is not used for any other marketing, and is not shared with anyone for marketing purposes.

§5 · WHO RECEIVES IT

Third parties

We share booking data with the minimum set of operational partners needed to run the trip:

  • Hosting: Tilizy Digital S.R.L., Romania — runs the web servers + database for this site.
  • Email: standard SMTP through our office's mail provider, used to deliver the booking-confirmation emails.
  • Romanian forest authorities: for the temporary hunting permit and trophy paperwork, we share the data required by Romanian law (name, passport ID, hunting licence reference, hunt dates).

We never sell or rent personal data, and we never share it for marketing or advertising purposes. All EU-based processors have a Data Processing Agreement on file.

§6 · YOUR RIGHTS

What you can ask us to do

Under the GDPR you have the right to:

  • Access the personal data we hold about you, in a portable electronic format.
  • Correct data that is inaccurate or out of date.
  • Delete data we hold about you, subject to the legal retention obligations noted in §3.
  • Object to processing based on legitimate interest.
  • Withdraw consent for the availability mailing list at any time — write to us and we will take you off it.
  • Lodge a complaint with the Romanian supervisory authority (ANSPDCP) or your local data-protection authority.

Send any rights request to office@romania-hunting.com. We will reply within thirty days as required by Article 12 GDPR.
